Email inbox and email campaigns

Connect sales@ and support@ and customer email arrives beside WhatsApp and Instagram, with the same assignment, handover and assistant. Replies leave from your real mailbox and sit in the customer's own thread. Campaigns go from a domain you verify, with one-click unsubscribe.

  • Gmail, Microsoft 365, Zoho or any IMAP mailbox
  • Replies thread in their mail app
  • One-click unsubscribe on every campaign

Her reply landed in her own mail thread

The email thread Grooming day for 40 staff: quote? Farah Aslam from Arif Textiles asks at 09:12, the assistant replies at 09:14 asking for the date and services, labelled sent by the assistant, and Sara replies to all at 11:40 with the quote attached.
In the inbox, Farah's email sits between a WhatsApp chat and an Instagram chat.

One request, start to finish

A company emails sales@ at 09:12, and the answer stays in their thread

At 09:12 Farah Aslam from Arif Textiles emails the salon's sales mailbox asking for a quote for a grooming day for 40 staff. It appears in the same inbox as WhatsApp and Instagram.
Two minutes later the assistant replies from the sales mailbox, labelled sent by the assistant, asking for the date and services. It answers only mail written by a real person and sends at most three emails per thread per hour.
At 11:40 Sara replies to all with the quote attached, copying Arif Textiles' accounts address. The reply sits in Farah's existing thread in her own mail app, and a copy lands in the salon's Sent folder.
Later, an email campaign goes to 214 corporate contacts from the salon's verified sending domain, not from the sales mailbox: 206 delivered, 5 bounced, 3 failed. Every email has one-click unsubscribe.

01: CONNECT

The mailboxes you already use, checked about every minute

Corporate clients, suppliers and older customers still write by email. When that mail sits in one person's Outlook, the reply depends on whether they are in that day. Connect the business's mailboxes to RaabtaHQ and the same team that answers WhatsApp sees them.

An admin picks the provider from a list: Gmail, Microsoft 365 or Outlook.com, Yahoo, iCloud, Zoho, Fastmail, or any mailbox with IMAP and SMTP settings. The card shows what that provider needs, whether that is signing in with Google or Microsoft or an app password with the server settings filled in for you. RaabtaHQ tests both incoming and outgoing mail before it saves anything. You can connect several mailboxes and mark one as the default address to send from.

  • New mail, about every minute

Busy mailboxes are checked every minute, and quiet ones back off to every ten minutes. A newly connected mailbox is checked every minute for its first hour, and each mailbox has a Check now button.

  • You decide who can start a conversation

Per mailbox: only existing contacts (the default), only replies to mail sent from RaabtaHQ, or anyone. Replies to mail RaabtaHQ already holds always join their thread.

  • Newsletters stay out of your contacts

Automatic mail never creates a contact. A bounce marks your original message as failed and never becomes a conversation.

  • Passwords you can't read back

Passwords and sign-in tokens are encrypted and cannot be read from the browser, not even by an admin.

Email mailbox settings: Gmail chosen as the provider, with Sign in with Google. Two connected mailboxes: sales@zeenatsalon.pk, the default sender, checked 1 minute ago, and support@zeenatsalon.pk, checked 4 minutes ago, with a Check now button.

02: WHERE IT LIVES

One thread per customer, wherever you read it

Each contact gets one conversation per mailbox, the same as on every other channel. A new subject shows as a divider inside it, so a customer who writes about something new is never counted as a new lead.

An admin chooses where email appears for the whole account. By default it sits in the shared inbox beside WhatsApp, Instagram and the rest. Teams that handle a lot of mail can give it its own Email section instead, laid out like Gmail or Outlook with a mailbox pane, a list, a reader and the contact panel. Nothing is moved by the choice. The assistant, notifications, reports and the API behave the same either way.

  • A reader built for long threads

Earlier emails fold to one line and long runs fold into a numbered circle, so the newest and unread ones are what you see first. Quoted history hides behind a button.

  • Only four labels

Not delivered, Sent by the assistant, Different sender, and Automatic reply or Delivery failure. Anything else is just mail.

  • Safe to open

Incoming mail is cleaned of scripts and dangerous links when it arrives, and remote images stay blocked until someone presses Show images. Designed newsletters keep their own look.

  • Filters you know from the inbox

All, Needs attention, Unread, Open, Pending and Closed, plus search. Status, assignee and whether the assistant owns the chat belong to the contact's conversation in that mailbox.

  • Deleting is careful

Deleting a thread removes it for the whole team, and the mail stays in the mailbox itself.

Email in its own section: a mailbox list of All mail, sales@ with 3 and support@ with 1, rows with the subject, a paperclip and the mailbox name, and a reader with earlier emails folded away.

03: REPLY

Reply like Gmail, or let the assistant answer

Reply and Reply all open in place. Reply goes to the author of the email you are answering, and Reply all copies everyone else on it. Add Cc or change the subject when you need to; a new subject starts a new thread. Replies carry the right threading details, so they sit in the customer's existing conversation in their own mail app, and a copy lands in the mailbox's Sent folder.

An assistant bound to email answers only mail written by a person from one of the contact's own addresses. Out-of-office replies, bounces, mailing lists and notifications never wake it. It sends at most three emails per thread per hour, and its mail carries the headers that tell auto-responders not to reply, so two machines never get stuck answering each other.

  • Write a new email from anywhere

From the email list, the inbox's New menu or ⌘K. A new address becomes a contact, and a half-written email is kept as a draft on that device.

  • Replying from Outlook counts

If someone answers from the mailbox's own mail app, the thread passes to a person and leaves Needs attention, the same as replying in RaabtaHQ.

  • Within your provider's limits

Attachments go up to 25 MB, Reply all reaches up to 20 people, and a daily send limit per mailbox keeps you under your provider's own ceiling.

An email thread: the assistant's reply, labelled Sent by the assistant, then Sara's Reply all to Farah Aslam with accounts@ariftextiles.pk in Cc and a 412 KB quote attached. A note reads: at most 3 AI emails per thread per hour.

04: EMAIL CAMPAIGNS

Campaigns from your own domain, with one-click unsubscribe

Email campaigns sit beside WhatsApp template broadcasts and own-number broadcasts. Give the campaign a name, pick the verified domain it comes from, write the subject, preview text and message with {{name}}, {{first_name}} or {{email}}, and choose all contacts, a tag or a saved list. A live preview shows it for a sample contact, and the reach counts only contacts with an email address. Send now or schedule it.

Campaigns never go from a connected mailbox. If someone marks a campaign as spam, your everyday sales@ mail is not the address that suffers. Replies go to the domain's reply-to mailbox and thread into the inbox like any other email.

  • Unsubscribe in one click

Every email carries the Unsubscribe button Gmail, Yahoo and Outlook.com show, plus a footer link. The page asks for a click before it acts.

  • A suppression list per account

Unsubscribes, hard bounces and spam complaints are left out. So is anyone who opted out of WhatsApp, checked when the list is built and again at sending. Two contacts sharing an address get one email.

  • Each person once

No recipient is sent the same campaign twice, even after an interruption. The campaign page shows delivered, bounced and failed for each person, and each email is recorded in the contact's thread.

An email campaign, Corporate packages 2027, sent from the verified domain mail.zeenatsalon.pk to the Corporate tag: 214 recipients, 206 delivered, 5 bounced and 3 failed. One-click unsubscribe in every email; opens and clicks are not tracked.

05: SENDING DOMAINS

Verify your domain once, with the records spelled out

In email settings, add a domain your business owns. RaabtaHQ shows the DNS records to publish, DKIM and DMARC, plus SPF when it is needed, each with a copy button. Press Check now and it looks them up. You can hand the list to whoever looks after your website.

A domain can be verified by one RaabtaHQ account at a time.

The sending domain mail.zeenatsalon.pk, marked Verified: DKIM verified, DMARC verified, SPF not needed.

The honest part

What it won't do

  • Bring in old mail

Only mail received after you connect a mailbox comes in.

  • Track opens and clicks

Apple Mail's privacy protection makes opens meaningless, and tracking pixels hurt delivery. Campaigns report delivered, bounced and failed.

  • Send campaigns from your mailbox

Campaigns need a verified domain you own, and access to its DNS.

  • Arrive the same second

Mail is checked about every minute.

  • Reply with a voice note

Voice replies work on WhatsApp, your own number, Instagram and Messenger, not on email.

  • Email a private contact from a shared mailbox

A team member's private contact stays private.

Works with

Questions about email

Asked by teams with a busy sales@

Which email providers work?

Gmail, Microsoft 365 and Outlook.com, Yahoo, iCloud, Zoho, Fastmail, and any mailbox with IMAP and SMTP settings. Microsoft mailboxes connect only through Microsoft sign-in, because Microsoft has turned off password access.

Will our old emails come in?

No. Everything received after you connect is brought in, and nothing older. Your old mail stays in the mailbox as it is.

Can the AI answer email on its own?

Yes, if you give email an assistant. It answers only mail written by a person, ignores automatic mail and mailing lists, and sends at most three emails per thread per hour. Every reply it sends is labelled Sent by the assistant.

Why can't I see who opened a campaign?

Open tracking is unreliable now that Apple Mail loads images for privacy, and tracking pixels hurt delivery. You see delivered, bounced and failed for each person instead, and replies arrive in the inbox.

Do I need my own domain for campaigns?

Yes. Campaigns go from a domain you own and verify by publishing a few DNS records. That keeps spam complaints on a campaign away from your everyday mailboxes.

Will email crowd out WhatsApp in the inbox?

If it does, an admin can give email its own section. Nothing moves, and the assistant and reports work the same either way.
