WhatsApp CRM and shared inbox with AI

Every part of RaabtaHQ, in the order your customers meet it. Start with the map below: each box is a feature with its own page, and every arrow is work one part hands to the next.

The hub: one shared inbox and one AI assistant. Three sample chats are shown: Ayesha Malik hot, Bilal Ahmed warm, Sadia Noor needs attention. The assistant can reply in Urdu or English, hear voice notes, book, label leads, open deals, hand a chat to a person, and ask you first.

01: Inbox

One inbox for every channel, worked by the whole team

Every message from WhatsApp, Instagram, Messenger, your website and your email lands in one list, with the customer's history beside the chat. Nothing lives on one person's phone any more.

  • Work as a team.

Assign a chat, see who is online, and filter by Needs attention, Unread, Hot, Open, Pending or Closed. Search reaches inside every message and voice-note transcript.

  • Reply faster.

Quick replies send saved messages with photos, videos or voice notes in one tap. AI suggested replies can be shortened or changed, and nothing sends by itself.

  • Private numbers stay private.

A team member's own linked number can have its own inbox, seen only by them and your admins.

More about the shared inbox

The shared inbox: every channel connected along the top, a list filtered by Needs attention, Unread and Hot, and Bilal Ahmed's chat open. His voice note about a refund is written out, the assistant passed the chat to a person, and Usman from the team replies that the refund has been processed. The composer offers quick replies with / and a Suggest reply button that only drafts.
What each channel can do: WhatsApp has free replies for 24 hours, then an approved template. Instagram and Messenger allow replies within 24 hours of the customer's last message. Website chat, email and your own number have no time limit. A customer who writes on Instagram and on WhatsApp shows as two contacts, because Meta does not share their phone number with Instagram chats.

02: AI assistant

An assistant that knows your business and knows its limits

It answers from your own instructions, prices and opening hours. It hears voice notes, looks at photos, and replies in the language the customer used, with a voice note if they prefer.

  • It gets work done.

Finds free times and books, moves or cancels appointments. Adds contacts, tags, notes and deals. Labels every lead hot, warm or cold with a one-line reason.

  • It works on your schedule.

Always on, set hours, or only when you are closed. It can also start on its own: every Monday, when a deal moves stage, or when a booking is completed.

  • It knows when to stop.

It hands a chat to a teammate with the reason written down, asks you before actions you marked for approval, and stops at your monthly AI budget.

More about the AI assistantAI that works on its own

Bilal sends a 40-second voice note at 00:12 about a weekend slot and parking; the assistant answers with a voice note giving two Saturday times and where to park.
A trigger every Monday at 09:00 to chase deals untouched for 14 days. The preview says 12 contacts would get a follow-up and 3 are skipped: 2 opted out, 1 is mid-chat with the AI. Its follow-ups need approval, and it sends to at most 500 per run.
The activity Story view for the run, in plain sentences: read his voice note, checked free times for Saturday, booked Bilal for Saturday 11:00, replied with a voice note. Finished in 14 seconds.

03: Turn chats into customers

Every chat becomes a contact, and good leads become deals

Bookings, campaigns and review requests all start from the same customer record, so nobody copies a name or a number from one screen to another.

Pipelines and ad funnels.

Drag deals between your own stages. See which deals are closing, going stale or unassigned. Follow one ad from first message to paid.

Pipelines

Contacts and saved lists.

Tags, notes and custom fields. Import a spreadsheet and duplicates by phone number are caught. Save a list by tag, last message, deal stage or campaign reply.

Contacts

Bookings.

Day, week and month views. Staff, the AI and customers see the same free slots, and double bookings are blocked. A public link lets customers book themselves.

Bookings

Messages that send themselves.

Confirmation, reminders, a cancellation notice and an after-visit message, each in your words, on the channel the customer already uses.

04: Reach them again

Campaigns people read, and reviews that land where they count

Send WhatsApp campaigns to the right saved list and watch each person go from sent to delivered to read to replied.

  • WhatsApp and email campaigns.

Approved WhatsApp templates with each person's name filled in, sent now or scheduled. Email campaigns go from your own verified sending domain, with one-click unsubscribe.

  • STOP means stop.

STOP, band karo or mat bhejo opts a person out automatically, and it holds even if they are deleted and imported again.

  • Reviews.

Ask the same day. Customers who rate you at or above the level you set see your Google, Facebook or Tripadvisor link. The rest come to you privately.

WhatsApp broadcastsEmailReviews

A WhatsApp broadcast to a saved list of people who have not visited in 90 days: 240 sent, 231 delivered, 188 read, 37 replied.
Zara replies "band karo" to the campaign. She is opted out and will not get campaigns again.
A review request asks Ayesha how her visit was. With the threshold set at four stars, four or five stars shows the clinic's Google link; one to three stars stays private and comes to the clinic.

05: Know what works

See which ads bring customers who pay

When someone taps a click-to-WhatsApp, Instagram or Messenger ad, RaabtaHQ saves which ad it was on their first message. When they book or pay, it can tell Meta and Google, so your ad money goes after buyers. The dashboard shows leads, reply times, AI against team and peak hours, and the owner can get a summary on WhatsApp every morning.

06: Team and control

Each person sees what their job needs

Owners, admins, agents and view-only members. Suspend someone without losing their chats. A setup checklist walks new accounts through channels, hours, team and the assistant.
