CRM for business setup and corporate services firms in the UAE
Quote from your packages, run each application service by service, let clients upload their documents in their own portal, and see every renewal coming from the dates you already hold. Government fees stay apart from your own revenue.
Renewals come from the expiry dates you already hold.
Every application, and what it waits onThe applications list at Falcon Gate: Kashif Mehmood's application shows company setup done, two investor visas and a bank account in progress, stuck on the medical test and waiting on the client, with nine days left. Below, a family visa three days overdue and a licence renewal waiting on the office.

Where setup firms lose time
The licence you set up last year expires next month. Nobody noticed, because the date is in a PDF in someone's email.
Setup firms are good at the work itself. The trouble is everything around it: quotes rebuilt by hand, clients asking for updates all day, and renewals that depend on someone's memory.
01
Every quote is rebuilt in a document, and no two consultants price a package the same way.
02
Government fees and your own fees land in one total, so nobody knows what the firm actually earned.
03
Clients message every day to ask where their visa is, and the answer is on a PRO officer's phone.
04
Licence, visa and Emirates ID dates sit in a spreadsheet that nobody opens until it is too late.
One client, start to finish
From a WhatsApp enquiry to the first renewal
One client, one free-zone company, eleven months. Each card is a screen in RaabtaHQ. The dates on the last card come from the licence recorded on the fifth.

60 days out: a reminder, and one click to startSat 2 Oct 2027. Sixty days before the licence expires on 1 December 2027, Kashif gets a renewal reminder on WhatsApp. On Falcon Gate's side the renewal has been on the dashboard since 90 days out, and PRO officer Omar Al Mansoori presses Start renewal to open the renewal application. Nothing starts on its own.
01
Enquiry · Starting-from prices, never a promise.
Kashif asks on WhatsApp what a trading licence with two investor visas costs. The assistant answers from your packages with a starting-from price and government fees as estimates, and says a consultant will send the exact quote. It never gives a binding price, a discount or a completion date.
02
Quote · Built from a package.
Your consultant creates Kashif's client record, linked to his chat, and builds the quote from a free-zone package. The zone logo and the package's spec rows print on the PDF. VAT applies to your professional fees only, and government fees are marked outside the scope of VAT. It goes on the open chat first, then as an approved WhatsApp template, then by email.
03
Application · Accepted becomes work.
Accepting the quote creates a draft invoice, and Open application starts the work with its services: the company setup, one investor visa for each person, and the corporate bank account. Each step says who it is waiting on: your office, the client, the authority or the bank.
04
Portal · The client does their part online.
Invited to his portal, Kashif uploads passport copies and fills in the shareholder form. A rejected photo shows him your reason. Your team is notified of each upload, and only your team can clear a step.
05
Licence · Issued and recorded on the company.
The setup service closes with the outcome issued. One click adds the new company to Kashif's record with its licence dates and moves the pending visas onto it. Kashif is told, if you have switched that message on.
06
Renewal · A reminder, and one click to start.
The licence renewal sits on your dashboard from 90 days out. At 60 days Kashif gets a reminder, and your team presses Start renewal to open the renewal application with its checklist. Reminders go at 90, 60, 30 and 7 days by default, and you can change them for each renewal type.
Renewals are never opened by themselves. RaabtaHQ reminds the client and shows the renewal to your team; a person presses Start renewal.

Packages and quotes.
Build packages with spec rows and fee lines, one per visa tier. A quote from a package locks its lines, so repricing the package later changes nothing already sent. The same rows also print as an information sheet with no prices at all. Quote numbers are given per office when the quote is sent.

Applications, service by service.
One application holds every service the client bought, one visa service per person. Each service has its own checklist of documents, forms, tasks, approvals, payments and government submissions. A service cannot close without an outcome, and a required item blocks its step until your team accepts or waives it.

Money in three streams.
Professional fees are your revenue and carry VAT. Government and free-zone fees are passed on at exact cost, untaxed, and never counted as revenue. Retainers bill themselves when a cycle falls due. Issued invoices are voided, never deleted, and the PDF carries what a UAE tax invoice needs: your TRN, the billed company's details and VAT per line.

Renewals from the dates you hold.
Trade licences and establishment cards come from each company, and visas, Emirates IDs and passports from each person. Completing a renewal writes the new expiry back and rolls forward from the due date, so a late renewal keeps its anniversary. Offshore companies get no visa or Emirates ID renewals.

A portal for your client.
Clients see only the applications you invite them to: progress, documents outstanding, forms to fill and what they owe, with invoice PDFs. A portal login does not use a paid seat and sees none of your contacts or chats. One login can also be set up for a client's assistant or accountant, limited to chosen applications.
Client updates you switch on.
A fixed list of events, from application opened to payment received and renewal coming due, each off until you switch it on and written in your words. Messages try your channels in the order you set, can go to named recipients such as a PA, and wait two minutes by default so a mistake can be undone. A live preview says who would receive it, or why it would not send.
Clients and their companies.
A client is always one person, with none, one or several companies under them. Visas used against a company's quota are counted from the people whose live visa is on it, never typed. Passport and Emirates ID numbers never show in the list and stay masked on the client page until someone presses Show.
Starter content.
Ten ready checklists, from free-zone and mainland setup to VAT and corporate-tax registration, with six forms and a matching service for each. Edit them as you like; a change applies to the next application, not ones already open.
Offices.
Each office has its own code, quote and invoice prefixes, and members. Numbers run per office, for example QT-DXB-2026-0001.
Your own stationery.
A clean standard design, or your own design built from your letterhead, quote and invoice artwork. We set it up with you.
Roles and the client portal
Your PRO officers see the work, never the money
Owners and admins see every client and application. Everyone else sees what they created and what is assigned to them, and assignees are told about new work. PRO officers see no money anywhere in the app.
Your client sees only the applications you invite them to. A grant on one application does not open another, and a portal login is never a team member.

Questions from setup firms
Before you switch
Can the AI quote prices to clients?
Only as starting-from prices from your catalogue and packages, with government fees given as estimates. It never makes a binding quote, a discount, a payment plan or a completion date, and it gives no immigration advice, which is regulated in the UAE. Exact quotes come from your consultant.
Does a renewal start on its own?
No. Renewals appear from the expiry dates you hold, and the client gets reminders at 90, 60, 30 and 7 days before by default, if you switch renewal reminders on. Your team opens the renewal application with Start renewal. Completing that application completes the renewal and writes the new expiry back.
Do clients have to use the portal?
No. The portal is optional and switched on in your settings. Your staff can upload or answer on the client's behalf, and clients can also follow progress through the updates you send on WhatsApp or email.
Can we use our own quote and invoice design?
Yes. Use the standard design, or have your own built from your letterhead and existing quote and invoice artwork, with your logo, paper size and margins. We set it up with you.
We work in one currency. Can it change later?
Each firm has one base currency for quotes, invoices and retainers. It locks once the first quote or invoice is numbered, so choose it during setup.
Can we keep using our WhatsApp number?
Yes. Connect it to the official WhatsApp API, or link a consultant's own number (unofficial) to their private inbox. On the official API, a message to a client who has been quiet for more than 24 hours needs an approved template.
